How to Reconcile Credit Cards in QuickBooks Online

To reconcile credit cards in QuickBooks Online, gather your credit card statement, then match each transaction in QuickBooks to those listed on your statement. This process helps you verify accuracy, detect missing or duplicate entries, and maintain precise expense records. Whether you’re managing supplier payments or tracking business purchases, reconciling your credit card ensures your financial data stays error-free and aligned with your bank’s records.

Gather Your Credit Card Statement

To start, get your latest credit card statement from your bank or card provider. You’ll need:

  • Statement closing date – the end date of the billing cycle.
  • Ending balance – the total amount due on the statement.
  • List of all transactions – including purchases, fees, interest, and payments.

Example: If your credit card statement shows an ending balance of $2,500 as of September 30, that’s the balance you’ll enter in QuickBooks to begin reconciliation.

Open the Reconciliation Tool

  1. Log in to your QuickBooks Online account.
  2. From the left navigation menu, go to Settings ⚙️ → Reconcile.
  3. Choose the credit card account you want to reconcile.
  4. Enter the Statement Ending Date and Ending Balance exactly as they appear on your statement.
  5. Click Start reconciling.

This ensures you’re matching the correct period and balance for accuracy.

Match Transactions

QuickBooks will display a list of transactions recorded during the statement period. Your goal is to ensure each transaction matches one from your credit card statement.

How to do it:

  • Check the box beside each transaction that appears on your statement.
  • Use filters (date, amount, transaction type) to locate missing entries.
  • If you see discrepancies, click Find match or Edit to correct transaction details.

Add or Edit Missing Transactions

If a charge or payment appears on your statement but not in QuickBooks:

  1. Click + New → select Expense, Bill Payment (Credit Card), or Transfer.
  2. Enter transaction details exactly as shown on your statement.
  3. Save and return to the reconciliation screen.

Example: Your statement shows a $250 payment to a supplier not recorded in QuickBooks. Add it manually under Expense → Payee: Supplier Name → Amount: $250 → Payment Method: Credit Card.

Review the Difference

At the bottom of the reconciliation window, QuickBooks displays a Difference field.

  • If the difference is $0.00, your credit card account is reconciled successfully.
  • If not, double-check the opening balance, missing transactions, or incorrect amounts.

Use the Reconciliation Discrepancy Report to identify where issues occurred.

Finish and Save the Reconciliation

Once the difference is zero:

  1. Click Finish now.
  2. Download or print the Reconciliation Report for your records.
  3. Store reports monthly for year-end accounting or audits.
